Document IDs simplify document management by enabling easy tracking of items, regardless of their location. Documents retain their ID even when moved between libraries or sites, ensuring consistent traceability.
Example: A legal contract moved from one site’s library to another remains easily locatable via its Document ID.
Document IDs are automatically assigned to uploaded documents and persist throughout the document’s lifecycle.
Document Sets can also receive Document IDs, enhancing organization and retrieval.
When the Document ID service is first enabled, new documents in the site collection will automatically be assigned new IDs. A timer job is scheduled to assign IDs to documents already in the site collection.
Also, when the service is enabled, a new column is automatically added to the Document and Document Set content types. The Document ID column displays the ID assigned to an item.
Before using the Document ID feature in your content management system, you must first enable it for each site collection your documents are located in.
Enabling Document ID assigns a unique, permanent ID to each document—including videos. Even if the file is moved, the Document ID URL stays valid.
🔧 How to enable it:
- Go to Site Settings
- Under Site Collection Administration, select Document ID Settings
- Enable the feature and configure your prefix
Once activated, each file will have a stable URL like:https://yourtenant.sharepoint.com/sites/yoursite/_layouts/15/DocIdRedir.aspx?ID=XYZ123
📌 A small step that makes a big difference in maintaining reliable links across your organisation.
